Custom DTF Shirts for Teams and Events

Use a simple checklist to organise garments, sizes, artwork and approvals for a group order.

DTF apparel example

Planning custom DTF shirts for a team or event is easier when the garment, quantities, size list, artwork and print locations are settled together. Start with a clear order brief, then confirm product availability and production timing with the print provider before making commitments to your group.

DTF is one decoration option to discuss for a group order. The final recommendation depends on the artwork, garment, quantity and options currently available for the project.

The group-order checklist

  1. Set the purpose. Note whether the shirts are for an event, staff, a sports group, volunteers or another use. This helps narrow the garment and fit choices.
  2. Choose a garment and colour range. Share product names or numbers, colours and any fabric details. Review how to choose a shirt for DTF.
  3. Collect sizes and quantities. Use one spreadsheet or roster and total every size before requesting a quote. Mark youth and adult sizes separately if both are needed.
  4. Prepare the artwork. Provide the latest approved file and state whether there are different versions, names or numbers. See the DTF artwork guide for file-preparation basics.
  5. Choose placement. Specify front, back, sleeve or other locations and identify whether every shirt uses the same layout.
  6. Confirm approvals and dates. Ask when artwork approval, garment confirmation and final quantities are needed. Get the production and delivery details directly from the provider.

Make the size list easy to verify

Group orders often include many sizes and more than one garment colour. Keep the roster in a consistent format with one row per garment version and a quantity for each size. Ask one person to verify the totals and collect changes before sending the final list.

If shirts will be handed out at an event, decide whether they need to be sorted or labelled by person, team or size. Confirm whether that packing option is available before relying on it.

Review artwork for the full garment set

Look at the design on every planned shirt colour, not just on a white screen. Confirm that fine details, small text and key colours remain easy to see. If there are names, numbers or role labels, check spelling and the exact list of variations. The printer should review whether the file and print size are suitable.

Work backwards from the event date

Share the date the shirts are needed, where they need to go and any date when the artwork or size roster will be final. Build in time for the group to review the proof and correct mistakes. Ask the provider to confirm what schedule is possible for the exact order; do not assume that a typical turnaround applies to every garment or quantity.

Before the order is final, confirm the garment, colours, quantities, size breakdown, artwork version, placements, quote and delivery or pickup arrangement in writing. That gives everyone one reference point if details change.

Common questions

How many custom DTF shirts should we order?

Use the number of people who need a shirt, then add only the extra quantities your group has approved. Confirm the shopโ€™s minimums or order rules directly.

Can every team member have a different name?

Personalised names may be possible depending on the production options. Send the list and ask the provider how it should be formatted and reviewed.

How far in advance should I order?

Timing depends on garment availability, artwork approval, quantity and the providerโ€™s schedule. Share your event date early and request a confirmed timeline.
